We are always looking for ways to improve WebActionHero to maintain our status as the best action management software in the world . The latest release of WebActionHero, 4.0.6 includes some new and exciting features to assist project teams.

Finding Field
Actions now have a ‘Finding’ field which allows you to capture the finding that resulted in your action or actions. Findings can be from audits, risk assessments, reviews, studies etc… Action findings will be displayed and filterable by users under My Tasks or Company Tasks. Findings were previously collected informally in the action comments field, but this new specific field will help those that perform audits and risk assessments, where the information leading to the action can be as important as the action itself. And in many cases a finding can lead to more than one action. Users can now filter their task views based on findings, which will allow more effective analysis.

Recurring Actions
We are very proud of our new recurring actions feature set which allows you to create an action to recur based on a user defined time unit (day/week/month/year) over the duration you want that action to keep recurring. We received feedback from our customers that it would be really cool if important recurring tasks could be captured so that they are not forgotten. We agree and we designed the feature set so that the users have lots of creative flexibility!

A user can now create a Recurring Action Template from the Add Action Menu and fill out the action details the same way you would for any new action. The user is then asked to set the time unit and duration, the start date and the total number of days users will have to complete the action workflow and then assign the workflow. Once the Recurring Action Template is completed, recurring actions will be created based on the specified information you have filled out for that template. Users can delete or disable Recurring Action Templates at any time. Disabled templates will not create new actions, however they can be re-enabled at any time. Deleted templates cannot be recovered, however any actions which have been created by them will be left in place. Users can also make changes to these templates through the edit option in the Recurring Action Template menu.

Recently we upgraded WebActionHero to version 3.2 introducing several improvements and features. Following our continuous improvement mandate inspired by both customer feedback and our core functionality philosophies we are excited to unveil Version 4.0.

Parallel Workflow
We listened to our users who asked for the ability to split their actions into sub tasks so that they could divide up actions among their team when necessary. We also listened to our users who asked for the ability to review documents in parallel during various document revisions. Parallel workflows is a powerful feature which allows users to better assign workflows to match real life business processes such as document review. And workflows steps can be divided, added, edited rearranged and deleted in the “live” workflow so you have full flexibility on your action plans.
Event log
With the new parallel workflow feature we are also introducing the Revision Log.  This time sequenced event log clearly shows the progress through a workflow including completion of tasks, rejection of tasks, editing of the workflow, and any other events that occur in the process.  This ensure’s an audit record of all parts of the workflow is kept including each action revision that occurred. By clicking on events in the revision log, users can see all relevant information connected to that event.
Workflow Options
Included with release 4.0 comes new updates to the workflow editor, making it even easier for users to create  or alter customized workflows.  New features include autodating which automatically assigns duration/dates to workflows based on the start and end date of your new action.  You also have access to a condensed help section built right into the workflow editor.  This assists users in creating their workflows without needing to leave the workflow editor.

1. Customization

WebActionHero has many options that allow you to customize the product to suit your individual and organizational needs.  One key customizable feature is privilege sets.  Privilege sets allow you to setup different privilege levels and then assign them to your users depending on users required access level.  This allows you to include a wide range of users, including: internal employees, contractors, vendors, auditors, corporate head office, certifying authorities, regulators, and guests.

2. Project Hierarchy with Unlimited Projects

You can have unlimited projects and each project can be divided into unlimited sub-projects and activities. 3. Internal and External Collaboration

Managing projects and the multitude of issues that crop up makes it very important for your team to have 24/7 worldwide access to effectively collaborate in resolving them and ensure the record of the way forward is well documented.  WebActionHero includes many features to facilitate such collaboration.  WebActionHero can be installed on premises or on our secure cloud servers, depending on the client install preferences. 4. Document Review, Document Library/Log

The ability to upload, issue for review and comment on documents is built right into the product.  When you create projects, activities and actions you can attach documents to them.  For review documents you can create review actions and the documents can then be commented on by users who are part of that respective review workflow.

All uploaded documents can also be viewed in WebActionHero’s Document Library for quick access and downloaded from that repository.  WebActionHero’s basic account includes 2gb’s of storage, allowing the storage of many documents.  On top of all these features, WebActionHero’s Document Library also keeps a log of each document, showing when a person viewed or commented on each document. Once your project is finished all your closed actions and activities are transferred into a Closeout Report which contains a full record of all actions, and attached documents.

Professionals responsible for preparing risk assessments should always prepare a Risk Assessment Charter (RA Charter) before they conduct the risk assessment. A RA Charter is useful for many reasons. I’ll give you my top 5 reasons:

1. Review Key Parameters

It provides a way for you to obtain early management/team review of the key parameters of the risk assessment: Namely, the main objective of the Risk Assessment, the scope of work to be assessed, the boundaries of the review, resources required, reference material, list of team members and the methodology to be followed.

2. Management Agreement

The RA Charter can then be used for management agreement to proceed- obtain management’s sign off of the charter.

3. Involves the team

The charter can be referred to when kicking off the risk assessment as a way to align the assembled team to the objective, scope, boundaries, resources, references and methodology. It’s a great icebreaker and it also allows an opportunity for the team to request any changes to the charter, which then get documented as part of the risk assessment report.

4. Visibility

The Charter is a great tool for those not attending the risk assessment if they need to become familiar. Good for those that need to be in the loop but not in attendance.

5. Easy to Reference

Finally, when preparing the report for the risk assessment, significant effort is needed to list the objectives, scope, boundaries, etc…. All this is in the Charter, so put that in Appendix A and simply refer to it in the front end of your report. This saves a LOT of time! :)
